Move Collection Items Report

This report is in the Bibliographic group of reports. It is named the Move Copies to Another Library Report in the My Titles Group Reports.

Run this report only after a full system backup.

Be careful when moving collections.

Do not transfer more than 10,000 titles at a time.

This report is password protected. If you do not know the password, see your SirsiDynix Symphony administrator.

Be sure the SirsiDynix Symphony Workstation server is running to schedule and run this report, or the report will fail. Do not halt the SirsiDynix Symphony Workstation server until the report displays on the finished list.

The Move Collection Items (Movecollection) report moves many copies from one library and/or one location to another. It selects a group of items to be transferred from one library and/or location to another, and transfers the selected items to the new library and/or location. By default, only call numbers with copies are selected.

This report contains the following tabs.

The workstation server must be running when this report is run. Records modified by this report are not dynamically indexed. This report must be followed by the Add, Delete, Update Databases (Adutext) report for titles be searched in the new library or location.

SirsiDynix recommends running the report first in a test mode without editing the database so that you can determine how many items will be updated by this report. To run the report in test mode, clear the Update Database Records check box on the Update Option tab. When you are satisfied with the test results of the report, clear the check box before running the report again to actually update the database records.

On the Item IDs tab, copies to be moved may be specified individually by item ID. Selections do not display if they would select items that are not valid for transfer.

A title is not selected if it meets one of the following criteria.

Is under accountability
Has copies on order
Was loaded for cataloging review

A call number is not selected if it is a parent bound-with child call number.

A copy is not selected if it meets one of the following criteria.

Is available for a hold
Is under accountability
Is on reserve

On the New Location tab, a New Library and/or a New Home Location to which copies are going to be moved are optional selections. A new library selection is required when moving collections between libraries. A new location selection is required when moving collections between home locations. Results may be sorted by title/author, call number, or item ID.

This report must be followed by the Add, Delete, Update Databases (Adutext) report for titles to be searched in the new library and/or location.

The report log prints the number of items selected and moved, and prints descriptive messages for items which could not be moved. On the Print Options tab, you may determine whether to print a list of the items selected, a list of the items moved, and a list of the items not moved (if any). Any or all of the listing check boxes on the Print Options tab may be selected or cleared.

Important Considerations When Running this Report

The same restrictions to transferring items with this report apply as when transferring items at the workstation.
This report can be used to move items to a new home location within the same library.
Use the Move Items Between Libraries (Globalmove) report to move accountable items.
This report will create a file with either print output or pipe-delimited output. No matter which option is selected, the initial naming convention for the file is yyyymmdd_internalrptname.prn. However, if you select Generate Pipe Delimited Output on the Print Item tab, the report creates pipe-delimited content in the .prn file, copies it to a similarly named .pipe file, and places the .pipe file in the /Rptprint directory. In this way, the pipe-delimited output is accessible by the Fixed Format helper found in the Finished Reports wizard. The report log lists the pipe-delimited report file name. This pipe-delimited file can be opened using a third-party application, such as a spreadsheet application.
