FAQs: Converting Shelf List Cards to Machine Readable Catalog Records in SirsiDynix Symphony

The following sections describe the MARC21 format standard and how you can convert your shelf list cards to MARC21 records.

The following FAQ is only for SirsiDynix Symphony users who are unfamiliar with the standard MARC 21 formats and who want to convert their library’s shelflist cards to machine–readable records using SirsiDynix Symphony.

Introduction to Common MARC 21 Tags

Certain parts of a catalog record contain descriptive information that is transcribed from the item being cataloged. The title, for example, appears in the description much (or exactly) as it appears on the title page, although punctuated according to certain cataloging rules. Headings are text added to the descriptive portion, usually repeating and standardizing certain parts of the bibliographic information already transcribed in the descriptive text. Each piece of cataloging information, both descriptive text and headings, has a particular position on a catalog card. All the text is arranged, indented, and punctuated according to the rules applying to each type of information.

Just as the information on a catalog card is positioned and punctuated to certain rules, the same information on a machine–readable catalog record is arranged and delimited to similar rules. All parts of the original cataloging are retained, but certain elements are added to take advantage of machine–readable text functions. The full MARC 21 instructions for delimiting machine–readable cataloging are available from the Library of Congress and described in the MARC 21 Concise Format for Bibliographic Data (http://www.loc.gov/marc/bibliographic/ecbdhome.html).

This FAQ describes how to translate a shelflist card into a SirsiDynix Symphony record. SirsiDynix Symphony records accept all tags, subfields, and indicators in the MARC 21 format, but do not require that they be entered. For example, the MARC 21 formats specify that the 245 (main title) field may have 2 indicators; the SirsiDynix Symphony record accepts these but does not require either of them. SirsiDynix does suggest the use of some indicators and subfields in particular circumstances. This FAQ covers only a few MARC 21 tags; more are described briefly in MARC 21 Format Standards for Cataloging.

Every entry on a catalog card may be placed in a SirsiDynix Symphony record. Some elements are entered as part of the following.

010 – Library of Congress Card Number (LCCN)

This number is frequently at the lower right corner of the card. Type the LC card number in the form 99–999999 if the number is present on the card.

This long number (9 or 10 characters) may appear on the catalog card, either in the notes area (center) or at the bottom of the card. It usually appears with hyphens.

All of the MARC 21 tags beginning with the number one and followed by two digits, are for main entries.

100 – Personal Author Main Entry

If the creator of a book is a person, type his or her name in the 100 field. The form of name used here is used in every record where this person is the main author, a contributing author, or where this person is the subject of the book. This is a heading field. Separate birth and/or death dates from the author’s name by using a pipe symbol (|) followed by a lowercase letter d. This is optional.

For example, the catalog card main entry contains the following name.

110 – Corporate Author Main Entry

If the creator of a book is a society, an association, a university, an institute, or other permanently associated group, type the name of the body in the 110 field. This is a heading field. The form of name used here is used in every record where this corporate body acts as the main author, a contributing author, or where this corporate body is the subject of the book.

For example, the catalog card main entry contains the following name.

111 – Conference/Meeting Author Main Entry

If a book is produced by a temporarily associated group of persons coming together in one place for a limited length of time, type the name of the meeting/conference, plus the place and date, as the author of the book in the 111 field. The form of name used here is used in every record where this conference/meeting body acts as the main author, a contributing author, or where it is the subject of a book. This is a heading field. Separate conference numbers and places from the name by using a pipe symbol (|) plus a lowercase letter. The subfield code marking the meeting number is subfield n. The subfield code marking the meeting place is subfield c. These subfields are optional.

130 – Uniform Title Main Entry

If a bibliographic entity has no primary creator, but is universally known by one name, describe the item with a uniform title. Type this special form of the title in the 130 field. Use the 245 (main title) field to record the exact form of the title as it appears on the title page (the title proper and all subtitles). The 130 (uniform title main entry) ties together all versions of a work that has no author main entry. This is a heading field. On the catalog card, the uniform title appears in the title main entry position, but surrounded with brackets. Do not type the brackets as part of the text.

For example, a catalog card title main entry contains the following title.

The same form of uniform title used here is used in every record of every version of this book. The 130 field has two special markers after the tag number called indicators. Indicators have a variety of uses, but the first indicator for the 130 field is a nonfiling indicator. A number from 0 – 9 typed in this position represents the number of characters coming before the first significant character. For examples of how to use nonfiling indicators, refer to the following section on the 245 – Main Title Entry.

Title Tags

All of the MARC 21 tags beginning with the number two and followed by two digits, are for title entries.

245 – Main Title Entry

Every item has a title. Transcribe the title from the title page of the book into the 245 field. There is only one 245 entry in a bibliographic description. This is a descriptive text field. The 245 field has two special markers after the tag number called indicators. Indicators have a variety of uses, but the second indicator for the 245 field is a nonfiling indicator. A number from 0 – 9 typed in this position represents the number of characters before the first significant character.

For example, the entry has a nonfiling indicator of 0 because no characters are skipped in order to sort this title by the first significant word “All.”

In AACR2 cataloging rules a slash appears between the end of the title and the first portion of the statement of responsibility. If a statement of responsibility appears in the title information, separate it from the title proper, parallel titles, and subtitles by using a pipe symbol (|) plus a lowercase c.

240 – Uniform Title

If a book has a primary creator, but has a title proper that varies from the title the item is universally known by, then describe the book with this special form of title in the 240 field. The 245 field is used to record the exact form of the title as it appears on the title page, but the 240 (uniform title) ties together all versions of the same work by the same author. The form of title used here is used in every record of every version of this author’s book. This is a heading field. Like the 245, this field’s nonfiling indicator is in the second indicator position. For information on counting and entering nonfiling characters, refer to the preceding examples in 245 – Main Title Entry.

Type edition information as it appears on the catalog card in the 250 field. It can be a phrase like:

This is a descriptive text field. Separate a statement of responsibility statement from the edition statement by using a pipe symbol (|) plus a lowercase b. This is optional in SirsiDynix Symphony.

260 – Imprint/Publication Information Tag

The imprint information lists the place of publication, publisher, and date(s) of publication. It can also contain information about distributors and places of distribution. This is a descriptive text field. Transcribe this information on the card to the 260 field in the SirsiDynix Symphony record. The date of publication should be separated from the publisher and place of publication by a pipe symbol (|) plus a lowercase c. It is important for the subfield c to mark the first date. Separate the publisher’s name from the place of publication by using a pipe symbol (|) plus a lowercase b.

Physical Description Tags

All of the MARC 21 tags beginning with the number three and followed by two digits, are for physical description entries.

300 – Tag for Collation

The collation lists the number of volumes or pages, notes the presence of illustrations, lists the size of the item in centimeters, and notes any accompanying material. This field is considered a descriptive text field even though it contains information not transcribed from the title page, but derived from the piece itself. Transcribe this information on the card to the 300 field in the SirsiDynix Symphony record. Separate the physical details (illus., ports.) from the number of pages by using a pipe symbol (|) plus a lowercase letter b. Separate the dimensions from the physical details of pages by using a pipe symbol plus a lowercase c.

Series Transcription Tags

Series are often considered a special kind of added entry. Different items with different titles may be held together bibliographically with the addition of a common series. A series may consist of an author and a series title, or just a series title. Sometimes individual items in a series are assigned numbers. Always record the series entry in the 4XX tags when the series name appears on the cataloged item. It usually appears on catalog cards after the physical description, enclosed in a set of parentheses. When the form that appears on the cataloged item is the same as all the others in the series, and the library wants to hold together all items with the same series form, the series is considered a “traced” series. In SirsiDynix Symphony this means that every word in the series field is indexed.

400 – Personal Author and Traced Series Title

Type the series in the 400 field when the title page transcription of the series name matches the library’s standard heading form, and there is a single personal author responsible for all items in the series. This field is both a descriptive text field and a heading field. Do not surround the 400 field with parentheses. If there is an individual series number associated with the item, separate the series number from the series title by using a pipe symbol (|) plus a lowercase v. On some catalog cards a possessive pronoun like “His” or “Her” may appear before the series title. Do not type the possessive pronoun in the SirsiDynix Symphony record. Instead, type the author heading and the series title in full in the 400 field. An author’s name and a series title may be separated by a pipe symbol plus a lowercase t.

Type the series in the 410 field when the title page transcription of the series name matches the library’s standard heading form, and there is a single corporate author responsible for all items in the series. This field is both a descriptive text field and a heading field. Do not surround the 410 field with parentheses. If there is an individual series number associated with the item, separate the series number from the series title by using a pipe symbol (|) plus a lowercase v. On some catalog cards a possessive pronoun like “Its” may appear before the series title. Do not type the possessive pronoun in the SirsiDynix Symphony record. Type the series in the 440 field when the title page transcription of the series name matches the library’s standard heading form, and there is a single series for all items in the series. This field is both a descriptive text field and a heading field. Do not surround the 440 field with parentheses. If there is an individual series number associated with the item, separate the series number from the series title by using a pipe symbol (|) plus a lowercase v. Like the 245, the 440 field has a nonfiling indicator in the second indicator position.

Type the parenthesized series statement in the 490 field when the title page transcription of the series name does not match the library’s standard heading form. If this is the case, two series statements appear on the card, one in parentheses and one at the bottom of the card in the tracings. Do not surround the 490 field with parentheses. This field needs a companion heading field if the form of the series on the title page is not the standardized form. The companion headings are recorded in the 800 (Series Traced Differently) group of fields. Separate the full spelling of an author’s complete name from the rest of the name by using a subfield q. Separate an author’s name and a series title by using a pipe symbol (|) plus a lowercase t. Most subfields are optional.

If a note (usually a whole paragraph of text) begins with the word “Contents,” or lists subtitles or descriptions included in the work, type this text in a 505 field. Do not type the word “Contents.” Leave out dashes or hyphens inserted between content descriptions. Separate the parts of the contents note with periods and spaces.

Some personal subject headings may appear with a dash and a word or words at the end. Do not type the dashes, but type all words in the traced heading, separated from each other with spaces. Type this information in a 611 (conference/meeting subject) field. This field is a heading field. Some conference subject headings appear with dashes and a word or words at the end. Do not type the dashes, but type all words in the traced heading, separated from each other with spaces or appropriate subfield codes.

If one of the subjects of an item is another bibliographic entity universally known by one title, the item’s subject is described with a uniform title subject heading. Type uniform title subject headings in the 630 field. This is a heading field. Some uniform title subject headings appear with dashes and a word or words at the end. Do not type either the number, the brackets, or any dashes as part of the text. Type all words and other punctuation in the traced heading, separated from each other with spaces. The 630 field’s nonfiling indicator is in the first indicator position.

If a work’s subject heading begins with the name of a state, country, or other geographical body, it is a geographic subject. Type this information in a 651 (Geographic Subject) field. This field is a heading field. Many geographic subject headings appear with subheadings connected to the main term with dashes. Do not type the dashes, but type all words in the traced heading, separated from each other with spaces. In older cataloging, some headings were abbreviated to save space. Check the Library of Congress Subject Headings (or other subject term source) for the full spelling of the term(s) or subdivision. Subfield codes are optional.

Added Author Tracing Tags

Type secondary creators or contributors to the production of a book in these fields according to the nature of their contribution. There is no limit to the number of added author fields used to describe an item. All added author tracings appear at the bottom of the card with roman numerals such as “I.” or “II.” Do not type the numeral as part of the field.

700 – Added Personal Author Tracing

Describe additional creators and contributing personal authors in the 700 field. Added personal author tracings are found at the bottom of the card. This is a heading field.

For example, the catalog card tracing contains the following tracing.

Subfields are optional. Sometimes (in older cataloging) the full name of the joint author, illustrator, editor, or compiler was not spelled out in full in the tracings. The added author tracings at the bottom of the card have just a roman numeral and an abbreviation for the added author’s function, as in “I. Ed.” or “I. Comp.” or “II. Illus.” or even as “vI-III. Eds.” Type these correctly in SirsiDynix Symphony by looking in the body of the card for the full name and typing each added author in a separate 700 tag, with the last name first, then the first name.

Title Tracing Tags

The following Title Tracing tags are available.

740 – Added Title Tracing

Some items appear with one form of title on the title page, but a different form of the title in one or more locations (for example, on the cover, on the spine, or running across the top of each page). Sometimes the title page title would be more easily accessible if another version of the title was added. If an added title appears as a tracing at the bottom of the card, it has a roman numeral and the word “Title:” before it. Do not type the numeral or the word “Title:” as part of the 740 field. Add any variant form of the title proper in this field. This field is a descriptive text field. Like the 245 field, this field has a nonfiling indicator. In the case of the 740, the nonfiling indicator is the first of the two positions.

For information on counting and entering nonfiling characters, refer to the examples in 245 – Main Title Entry.

Ignore tracings on the catalog card that have a roman numeral and the word “Title.” Once the main title has been typed in the 245 field, this tracing is complete.

If a book has a primary creator and a standard title, but contains material from a title without a primary creator universally known by a particular form of name, then the item is described with a special added title field called the 730. Like the 740, the 730’s nonfiling indicator is in the first indicator position.

Tags for Series Traced Differently

A tag in the 800 group is only used if a 490 field is already present. The basic information in the two tags is the same: information about the individual item’s series. The difference is the series information in the 490 field is transcribed from the piece, but the information in the 8XX field is reformatted to the library’s specifications for that series heading. Series traced differently (800 group) appear at the bottom of the card with a roman numeral and the word “Series:” before it. Type the information in the appropriate 8XX field. Do not type the roman numeral or the word “Series:” as part of the 8XX field.

800 – Personal Author Heading and Traced Series Title

When the title page transcription of the series name does not match the library’s standard heading form, and there is a single personal author responsible for all items in the series, then the series is typed in the 490 field, and the traced series is typed in the 800 field. The 800 field is a heading field. If there is an individual series number associated with the item, the series number is separated from the series title by using a pipe symbol (|) plus a lowercase v.

For example, the series on the catalog card contains the following line.

(Vampire chronicles ; 3rd book)

The card also has a tracing of the series in a different form.

The 810 field is a heading field. If there is an individual series number associated with the item, separate the series number from the series title by using a pipe symbol (|) plus a lowercase v.

For example, the series on the catalog card contains the following line.
